We are thrilled to welcome you to Gaylord Property Group!

Our goal is to make this transition simple, smooth, and stress-free so you can enjoy peace of mind while we begin improving your property management experience and increasing your cash flow.

Step 1 – Requests to Make of Your Current Management Company

Action to Requests:

  • Complete any open work orders and make sure invoices are paid.
  • Remove the property from all online marketing platforms so there’s no duplication or confusion.
  • If applicable: Unregister the property with the county and state for transient rental/tourist tax purposes (to prevent duplicate filings). This any properties leased for 6 months or less.

Items to Request:

  • Copies of existing lease agreements
  • Copies of existing move-in inspections
  • Remaining owner reserve funds
  • All property keys
  • Copies of any photos you’ve paid for and have rights to use
  • Copies of any future leases or reservations that will remain active after the transition

Step 2 – Send Notice to Your Current Management Company

Here’s a friendly template you may use or adapt when notifying your current property management company:

"We appreciate the work you’ve done leasing and managing (property address). We’ve decided to partner with Gaylord Property Group, and they’ll begin managing the property as of (effective cancellation date).

If you could please send us the following:

  • Any existing lease agreements, move-in inspections, and all future leases or reservations still in place
  • Any remaining owner reserve funds, all property keys, property listing photos, and any inspection summaries and photos
  • Confirmation that any open work orders are complete and invoices are paid
  • Confirmation (if applicable) that the property has been unregistered with the county and state for transient rental/tourist tax purposes
  • Confirmation that the property has been removed from all online marketing platforms to avoid duplication or confusion

We appreciate your help in making everything transfer over smoothly.”

Step 3 – Provide to Gaylord Property Group

Please confirm with us in writing (an email is fine) that you’ve submitted cancellation with your current management company and the effective cancellation date.

Then, simply complete your Property Onboarding Form! (if this link doesn’t work, please visit our website below and click ‘List My Property’ under the ‘Owner’s & Investors’ tab at the top of the page).


✅ Once these three steps are complete, we’ll handle the rest and ensure your property is fully onboarded with Gaylord Property Group.
